Aircon Servicing Booking System: A Singapore Owner's Guide
How Singapore aircon servicing businesses move from WhatsApp chaos to a booking system: job details to capture, recurring reminders, routing, peak season, PDPA.
Frequently asked questions
What should an aircon servicing booking system capture for each job?
At minimum: the address and property type (HDB, condo or landed), number of indoor units, the system type (for example System 1, 2 or 3), the brand, whether it is routine servicing or a specific problem, and access notes such as condo booking rules or where the condenser sits. With those details, the dispatcher can size the job, send the right technician with the right tools, and quote consistently without a long WhatsApp back-and-forth.
When is peak season for aircon servicing in Singapore?
Demand tends to rise with the heat. According to the Meteorological Service Singapore, May has the highest average monthly temperature (a 24-hour mean of 28.6°C), while December and January are the coolest. Most operators plan extra capacity for the months around the inter-monsoon period, from late March to May, and use the cooler months to push contract renewals and chemical washes.
Do aircon technicians in Singapore need certification?
NEA notes that ITE runs a Certificate of Competency in Residential Air-Conditioning System (Refrigerant), and NEA publishes a list of technicians who have completed it. For R32 systems, NEA states that to comply with SCDF requirements, manufacturers must ensure service personnel have completed ITE training. Record each technician's certifications in your system so only qualified people are assigned to refrigerant work.
Can a booking system send automatic WhatsApp reminders to aircon customers?
Only if it is connected to the WhatsApp Business Platform, which is the paid, automated version of WhatsApp. A wa.me click-to-chat link just opens a chat with your number and a human still has to reply. Outside a 24-hour window after the customer last messaged you, automated messages must use templates that Meta has approved in advance.
Are servicing reminders on WhatsApp covered by Singapore's Do Not Call rules?
PDPC says the DNC rules apply to specified (marketing) messages sent to Singapore numbers, including through WhatsApp. PDPC also lists messages from organisations a person has an ongoing relationship with among the things the registry does not cover. A reminder about a customer's own servicing contract is very different from a promotional blast to everyone who ever booked once, so separate the two and check the DNC Registry before sending marketing.
