Booking System Singapore: Off-the-Shelf vs Custom Build
Most Singapore service businesses should start with off-the-shelf booking software. Go custom only when your rules, integrations or scale outgrow it. Here's how to tell.
Frequently asked questions
Should a small business in Singapore use off-the-shelf booking software or build a custom system?
Start with off-the-shelf if your booking is 'customer picks a service, a staff member and a slot' - tools like SimplyBook.me, Setmore or Calendly handle that well and you can be live in days. Consider custom only when your real rules (travel time between HDB estates, crew sizes, equipment, packages, approvals) can't be expressed in the tool, when staff are working around it daily, or when per-seat fees keep growing with your team.
What drives the cost of a booking system?
For software subscriptions, the main drivers are the number of staff seats or locations, add-ons like SMS reminders or payments, and how many years you keep paying. For a custom build, cost is driven by the number of distinct business rules, integrations (payments, calendars, accounting, messaging), user roles, and ongoing hosting and maintenance. Compare total cost over three years, not the first month.
Can a booking system send WhatsApp reminders automatically?
Only if it is connected to the WhatsApp Business Platform (the API), usually through a provider. A simple click-to-chat link just opens a WhatsApp conversation with you - it does not automate anything. With the API, messages to a customer outside the 24-hour window after their last message must use Meta-approved templates, and Meta charges per delivered template message, so check Meta's current pricing page.
Does PDPA apply to my booking system?
Yes. Names, phone numbers, addresses and appointment notes are personal data, so you need to tell customers why you are collecting them, use them only for that purpose, protect them, and not keep them longer than needed. If a software vendor stores the data for you, you remain responsible for it. Check the obligations directly on pdpc.gov.sg.
What is the smartest way to start with online booking?
Pick one workflow that costs you the most time or lost jobs - often 'quote request to confirmed slot' or 'reminder to reduce no-shows' - and fix only that. Run it for a month, count what changed, then decide whether to expand, switch tools or build something custom. Starting with everything at once is how booking projects stall.
